Sydney Fly Rodders Club

Welcome to the Sydney Fly Rodders website!

As a member of the Club, you can view member-only content, interact with other members through the Member Directory and directly contact members of the Committee.  You can also perform self-service functions such as updating your profile, paying invoices and renewing your membership.  In this guide, we'll help you get started, show you how to manage your membership, and introduce you to some of the functionality that appears on this website.

On this page:

Logging in

You have to log into your Sydney Fly Rodders account if you want to access member-only pages on the website, or if you want to perform self-service functions such as changing your email preferences, signing up for events or paying your membership.

New members are automatically logged in after supplying their email address when they apply for membership.  However, new members cannot view member-only content until they have been approved by the Club.  When a new member receives a Member Activation email, this signifies they have been approved.

To start the login process, click the head-and-shoulder icon on that appears in the top-right-hand corner of every page:

In the login fields, you enter your Sydney Fly Rodders login details, these being your email address and password, then click the LOG IN button.  If you do not remember your password, click the Forgot password link under the LOG IN button.  On the page that appears, you can enter your email address to receive a reset password link via email.

When you first log into the website, you will be required to accept Wild Apricot's terms of use before proceeding; Wild Apricot is the software vendor of the Club's website.  Please review the terms to ensure they are acceptable to you.

After you login, and if your membership if financially current, you will be taken to the Event Calendar page.

However if you owe membership fees you will be directed to your Profile, specifically the Invoices and Payments tab.

While you continue to owe Club membership fees, a reminder will be displayed in the bottom-right-hand corner of every page you visit (to pay, see Viewing invoices and making payments).

Also if a message has been sent to you, a notice, with an exclamation mark in a blue circle, will be displayed in the bottom-right-hand corner of every page you visit.

Check you personal email account to retrieve these messages.

Changing your password

Passwords are automatically generated and emailed to you when you join the Sydney Fly Rodders Club.

You can change your password by clicking the Change password link that appears after you click the head-and-shoulders icon that is shown in the top-right-hand corner of every page.

On the screen that appears, you enter your current password, then the new password, and the new password again for confirmation.

Your password must be a minimum of seven characters and a maximum of 50 characters.  The password maybe any combination of letters, numbers and characters, except a space cannot be used.  Passwords are case-sensitive.

Updating your profile

After you have logged in, your are able to access your Profile by clicking on the head-and-shoulders icon, which is shown in the top-right-hand corner of every page, and selecting View Profile

From the page that appears, click the EDIT PROFILE button to update your personal information.

After you've made your changes, click the SAVE button to save them.

Using the Member Directory

The Member Directory is only available to logged in members and is accessible from the MEMBERS menu option.

Use the Member Directory to see a list of other members, search for members, and view their profiles.

The Member Directory displays your first name and surname and optionally your phone number.  By default, when you join the Club, your phone number is not shown in the Member Directory.  You may alter your privacy setting so that the phone number is displayed in the directory.   You may also choose not to appear in the Member Directory; also see privacy setting.

To view a member's Profile, click on the member in the Member Directory list, and if the member has allowed for their Profile details to be shown to other members - see privacy settings to restrict or allow other members seeing your Profile - that member's Profile will be shown.

In addition, you may use privacy settings to limit what of your personal details are shown.  In the following, the member has chosen to only show his names and mobile phone number; he could have also shown all his address or only parts of his address, for example, suburb.

If the member has allowed to be messaged (refer privacy settings), the SEND MESSAGE button will be visible.  Click the SEND MESSAGE button and the SEND MESSAGE form is displayed. Compose your message and send it to the member. The message will be sent as a normal email using the email address the member has recorded with the Club.

At this point if you no longer want to continue sending the message, as there is a know issue with exiting the SEND MESSAGE form (see Know issues), the best option to exit is to select any of the menu options in the top horizontal menu.

After you have sent the message, a message sent confirmation screen is displayed.

At this point it is strongly recommended you do not click the BACK TO PROFILE button, the Back link (top-left-hand corner) or the browser's back arrow as there is a know issue (see Known issues).  Rather to continue using the website, select any of the menu options in the top horizontal menu.

There are two important points to note about email addresses in this process.

Firstly, when you send a member a message, the member’s email address is not shown to you in the SEND MESSAGE form.  Similarly, when someone prepares a message to send to you, the email address you have recorded with the Club is not shown to them.

Secondly, when you message a member, the email address you have recorded with the Club is included in the email as the reply-to email address.  It is visible to the member when they receive the email.  If you do not want the member to have knowledge of the email address you have recorded with the Club, you have the opportunity in the SEND MESSAGE form to provide an alternative email address – see the above image and refer to the field “Reply email”.

Member Directory: Changing Your Privacy Settings

From your Profile, you can change your privacy settings to control what of your personal information can be seen by other members in the Member Directory and the Members Profile form – refer to Member Directory for an introduction to the directory and form.

To see your privacy settings, click the Privacy link within your member Profile and the Privacy tab will be shown.

The above image gives the default privacy settings for new members and members who have been migrated from the old website. An explanation of the default settings is as follows:

  • The profile of this member will be visible, that is, it will appear in the Member Directory, to other members because the “Show profile to others box" is ticked.
  • A message can be sent to the member as indicated by  under the Members column.
  • The member's first name will be displayed as indicated by under the Members column.
  • The member’s last name will be displayed as indicated by  under the Members column.
  • A cross under the “No access” column for a row, indicates that the personal detail associated with the row, for example, Suburb, will not be displayed in either the Member Directory or the Member Profile form.

To change your privacy settings, click the EDIT PROFILE button; the and crosses change to circles that are either blue or empty.  A blue circle indicates the selected access setting.  For example in the following, Membership Level, will not be displayed as there is a blue circle under the "No access" column.

To stop being listed in the Member Directory and stop other members seeing your Member Profile, untick “Show profile to others” box.

If you want to be listed in the Member Directory and allow members to see your Member Profile, tick “Show profile to others” box.

If you don’t want members to send you a message, click the circle under the “No access” column for the row titled “Send message form”.   If you have clicked the circle correctly, it will turn blue.

To allow members to send you a message, click the circle under the “Members” column for the row titled “Send message form”.

To change a privacy setting for other personal information, click the appropriate circle under the area headed “DETAILS TO SHOW”.  In the following, the member has changed his privacy so that his email address and mobile phone will be displayed.

Once you are finished changing your privacy settings, click the SAVE button.

In regards to the Member Directory, you should note that:

  • Only your first name, surname and optionally your phone number, can be displayed in the Member Directory.
  • As the Member Directory is not visible to the public, your personal details can only by viewed by Members who have logged into the website.

It is important to note that though the settings in the Privacy tab indicate that your details can be viewed, if selected, by "Anybody", this is not true.  The website has been designed by the Club so that no member's details are exposed to the public.

Email preferences

From your Profile, you can choose whether you wish to receive emails from the Club, and if so, which kinds of emails you want to receive.   When you join the Club, the default is that you will receive all emails from the Club that are sent via the website.

Please do not change these email settings as important information will be forwarded to you via the website.

To ensure all members are getting all emails, periodically, the Member Manager will review all Member's email settings and where necessary will reset changed settings to the defaults.

The Club may also send you emails from other sources, for example, MailChimp, and whether you receive or don't receive the emails from other source cannot be changed from within your Profile.

In all cases, when you have paid for your membership you will you will receive a Payment Receipt email and a Renewal of Membership Confirmation email – see Stripe online payment screen for details of these two emails.

Renewing your membership

There are two ways you can renew your membership.

Firstly, a renewal invoice will be automatically emailed to you 30 days before the membership renewal date, this being 1st July.  Within the renewal notice, you can click the link to log into your Sydney Fly Rodders account.

Note, the following is a test invoice generated during the Club's testing of the renewal process, please ignore the Membership Level and fee.

After you have logged in, click the PAY ONLINE button to pay online using the Stripe online payment screen.

Secondly, you can also renew your membership from your Profile in the Sydney Fly Rodders website. To view your Profile, log into Sydney Fly Rodders (see Logging in) and click the link to your Profile (see Updating your profile).

To renew your membership from your Profile, click the RENEW button on your Profile page and you will be taken to the Stripe online payment screen.

You are limited to renewing your membership only one year in advance and you are only able to renew it within 30 days of 1st July.

If it is more that 30 days before the 1st July, a notice informing you of the next possible renewal date appears in place of the RENEW button.

Changing your membership level

The Club has five Membership Levels, these being:

  1. Sydney membership.
  2. Country membership.
  3. Junior membership.
  4. Associate membership.
  5. Life membership.

All levels, except for Life membership, require a yearly membership fee to be paid.

The yearly Sydney, Country and Associate membership fees can be manually paid each year using a credit or debit card.

If you wish to change your membership level, for example from a Sydney membership to a Country membership, please contact the Membership Manager via the "Contact the Committee" form.

Viewing invoices and making payments

If you have any unpaid invoices, a message will appear after you log into your Wild Apricot site in the bottom right corner.

To view or pay the outstanding invoice, click the link. You will be taken to the Invoices and payment tab on your Profile, where you can view and pay invoices, and view past payments.  You can also access this tab by displaying your Profile then clicking the Invoices and payments link.

Invoices with open balances (unpaid or partially paid) will be shown at the top of the screen. To pay one invoice, click on the Invoice link and the invoice will be displayed and you will have the option to pay online by clicking the PAY ONLINE button.  Clicking this button will take you to the Stripe online payment screen.

If you have more than one outstanding invoices, click the checkbox beside the invoice(s) you want to pay, click the PAY ONLINE button and you will then be taken to the Stripe online payment screen.

If you have credits on your account, they will appear as payments that you can also select to apply against your outstanding invoices.

Stripe online payment screen

The Club uses the Stripe online payment system to receive online payments from members.  To pay, merely enter your card details.

If you have registered a credit or debit card with G Pay (Google Pay) and you are logged into your Google account, you can access these by clicking the  G Pay button.  Please note, you do not have to register your credit or debit card with G Pay to use Stripe.

If your payment is successful you will be emailed a receipt.

If the payment was for renewal of your membership then you will also receive a renewal of membership confirmation email.

Contacting the Committee

The Contact the Committee form is only available to logged in members and is accessible from the MEMBERS menu option.

Select the member of Committee you wish to contact and the Profile of the Committee Member will be displayed.

You may notice that a Committee Member has an unusual Mobile phone number; please ignore this value, the reason for this value is explained in Known issues.

Click the SEND MESSAGE button and the SEND MESSAGE form is displayed.  Complete this form and send your message to the Committee member.

Events

The Event Calendar is only available to logged in members and is accessible from the MEMBERS menu option.

Events can also be displayed in a list format by clicking the Switch to List View link which is located in the top-right-hand corner above the calendar.

The full details about the event can be obtained by clicking on the event title.  To register for the event, click on the booking link in the event's description.  When you click on the booking link, you will be taken to Eventbrite to register and pay for the event.

In your Profile, clicking on the link labelled My event registrations would show, if the Club was using Wild Apricot Club for event registration, all the events you have signed up for.  However, the Club uses the Eventbrite event-registration program and this does not interface to the Club's website.  Hence, no  Eventbrite events will show in your My event registrations.

The Club is hoping to change event registrations in Stage 2 to use the Club's website event system rather than Eventbrite.  If this does occur then you event registrations will appear listed in the My event registrations tab.

Site search

The website site can be searched using the Site Search.  The Site Search is only available to logged in members and can only be accessed from the member-only-content pages; these pages are available from the main menu by clicking MEMBERS.

A search is commenced by entering your search string into the box under the head-and-shoulder icon which is located at the top-right-hand corner of the page.

The results of the search will be listed on a new page.

By example, using the search string "Mitta", the results were:

In the above, the icon next to the first result  indicates the search has located an Event containing the word "Mitta".

The icon  next to the next three other search results, indicates that these are web pages which contain the word "Mitta".

Website and data security

Wild Apricot is the software vendor who developed the software that is used to operate the Club's Website and Membership system.

For details of the processes and security standards Wild Apricot have implemented to protect the Club's and member's data, please refer to their website.

Known issues

Contact the committee member profile

After a Committee Member is selected from the "Contact the Committee" list, the profile for the Committee Member is displayed and the value for the Mobile number appears to be unusual, and possibly indicates a problem with the website.  However, there is no problem.  Rather, this value has  been deliberately used to ensure the "Contact the Committee" list presents Committee members in a specific order.  So please ignore this field and proceed to send your message to the Committee Member.

Send Message page when used from either "contact the committee" or "member directory"

When you click the SEND MESSAGE button after viewing the Profile of a member or that of a  Committee Member, the Send Message page is displayed.  There are two know issues with the SEND MESSAGE process.

Firstly, if, after the SEND MESSAGE page has been displayed, you decide at this point not to send a message to the member or Committee Member and click the Back link (top-left-hand corner) or the browser's back arrow, the Profile page is re-displayed.

If on the Profile page you click the Back link (top-left-hand corner) or the browser's back arrow, hoping to return to the "Contact the Committee" or the "Member Directory" pages, unfortunately the SEND MESSAGE form is re-displayed.

To exist this infinite loop, click any of the menu options in the horizontal menu at the top of the page.

The second issue is, after you have sent a message to the member or the Committee Member,  a message sent confirmation page is displayed.

If:

  1. you click either the BACK TO Profile button, the Back link (top-left-hand corner) or the browser's back arrow,
  2. and  then, on the next page that is displayed, click the BACK TO Profile button, the Back link (top-left-hand corner) or the browser's back arrow, the following error message is displayed.

If you reach this point the best option is to type www.sydneyflyrodders.com.au into your browser or, if you have set up a bookmark for the Club's website, click on the bookmark.

It is best, when message sent confirmation page is displayed, to select any of the menu options in the top horizontal menu to continue using the website.

The circle of Death

Like all good computer systems, our website may "disappear" and become unresponsive.  This is usually indicated by a circling arrow that doesn't stop looping.

When the circling arrow appears, wait for at least a minute as the system may be pausing on a slow Internet connection.  When you do decide to give up, click any of the menu options at the top of the page.

Very, very rarely, even this action doesn't help.  In this case, click the bookmark in your browser for the Sydney Fly Rodders website.

Mobile app

Several mobile apps are available for download from Wild Apricot, the vendor of the Club's Website and Membership system.

These apps have not been reviewed by the Club and for the time being, members are requested not to use the apps to access the membership system.  The apps will be evaluated for a Stage 2 implementation.

Until we evaluate these apps, please do not use them, they are not supported.
